Implementing a new HRM system is a team effort. There is data to prepare, decisions to make, workshops to attend and testing to complete. When the process is not clear enough, even straightforward tasks can feel heavier than they should.
We have listened, reviewed how our projects run and taken a fresh look at our implementation methodology. The goal is simple: make the journey clearer, more manageable and easier for customers to navigate.
This approach describes the implementation of standard Gecko solutions, which are typically smaller and more focused projects. For larger projects involving extensive customisation, we use selected elements of this methodology alongside other delivery approaches suited to the project’s scope and complexity.
Why Is Gecko Improving Its Implementation Approach?

In other words, fewer marathon meetings and fewer moments of wondering, “What exactly do we need to prepare next?”
We are improving the process based on three sources:
- Feedback from customers
- Analysis of how implementation projects are executed
- Feedback and expectations from the wider HR technology market
This is not about changing everything for the sake of change. It is about keeping what works and improving the areas that can make implementation simpler for both teams.
Who Supports You During a Gecko HRM Implementation?
A successful implementation depends on more than a clear project plan. It also depends on having the right people alongside you throughout the process.
Every Gecko implementation is led by a dedicated implementation specialist who stays with the project from kick off through to go live. They act as the customer’s main point of contact, while a wider team of specialists in project delivery, integrations and Customer Success can step in whenever additional expertise is needed.
Our team delivers around ten implementation projects every year, including some of the largest and most complex HR environments in Slovenia. This experience helps us recognise where projects typically slow down, anticipate common challenges and keep implementation moving without compromising quality.
For customers, that means the methodology is supported by people who understand not only how Gecko works, but also what it takes to introduce an HRM system successfully in complex organisations.
How Will Implementation Become Easier to Manage?
Gecko is standardising the implementation services provided for existing modules. Each module will have a defined number of workshops, check ins and training sessions. Customers will receive a clearer view of the expected sequence, purpose and workload, making it easier to involve the right people and plan internal resources.
Instead of covering large amounts of information in long sessions, we are moving towards:
- More focused, shorter workshops
- Data preparation divided into smaller activities
- Supporting videos where appropriate
- Process flowcharts that make workflows easier to understand
- Standard meeting and training structures for each module
A complex HR process is much easier to tackle one clear step at a time.

How Will Customers Know What Is Expected?
A project plan will be prepared before the project begins and communicated to the customer. It will define the approach for each module, including planned meetings, their purpose and any agreed limitations. This gives both Gecko and the customer a shared reference point throughout the implementation.
During the project kick off, we will explain how project scope will be managed.
Each module kick off will then cover:
- The expected weekly timeline
- The sequence and topics of workshops
- Planned check in meetings and their purpose
- Expectations for timely data preparation
- Expectations for timely testing
- Agreed module scope and limitations
No crystal ball required. Customers should be able to see what is coming and prepare for it.
How Will Gecko Improve Data Preparation?
Customers told us that data preparation could be hard, so the updated approach breaks it into smaller, more manageable tasks, which also includes making the use of our templates for collecting HR data from different applications, spreadsheets and databases. The methodology builds on this with clearer timing, ownership and activity tracking.
A homework log will help keep customer activities visible, while a meeting log will record important discussions and agreements.
This should make it easier to understand:
- What information is needed
- When it needs to be prepared
- Which activities are still open
- What has already been completed
Clearer preparation also helps reduce avoidable delays later in the project.
What Happens When a Project Moves Away From the Plan?
Not every implementation follows a perfectly straight line. New requests, delayed activities or unexpected dependencies can appear. Gecko is introducing a standard approach for resolving these deviations, including faster escalation and clearer documentation when something moves outside the agreed project plan.
The intention is to make changes visible and manageable.
Gecko will focus on delivering the services included in the agreed scope. When a deviation occurs, it will be identified, documented and addressed rather than quietly becoming an extra task that affects the rest of the project.
That protects timelines, priorities and everyone’s peace of mind.
How Will Completed Modules Be Supported?
When a module is completed, Gecko plans to involve the Customer Success team as soon as possible. This creates a clearer transition from implementation into everyday use, while the implementation team can continue working on the remaining project scope.
Moving completed modules to Customer Success earlier also helps limit repeated changes to work that has already been completed.

- Earlier access to ongoing guidance
- A smoother transition into regular use
- Continued implementation progress on other modules
What Does the Improved Approach Mean for Customers?
The updated Gecko methodology is designed to provide more transparency, clearer responsibilities and a more manageable workload. Customers will have a better understanding of the scope, required effort, planned meetings and next steps for each module.
