Onboarding & Offboarding

Starting Strong, With the Right Support

Starting a new job is exciting. It is also a tiny bit unsettling.

At your previous job you know exactly where everything is, who to ask, which systems to open, and which mug in the kitchen is silently claimed by someone else. Then you find yourself in a new job, learning new names, new tools, new routines, new acronyms, and wondering whether it is too soon to ask where the good coffee is. ☕

At Gecko and Agilcon, we know that joining a new company is much more than just an administrative event, it is actually a big life transition. And that is exactly why onboarding matters so much to us!

We want every new colleague to feel welcomed, supported, informed, and confident. Not magically ready for everything on day one, but enabled to ask questions, meet people, understand expectations, and grow into their role with the right support around them.

Onboarding Starts Before The First Day

Once the offer is accepted, we start preparing everything needed for a smooth start. That includes access, equipment, onboarding tasks, learning plans, internal communication, and coordination with the team.

This is where Gecko HRM becomes worth its weight in gold. It helps everyone involved know exactly what they need to do before the new colleague joins. Tasks are assigned, reminders are sent, responsibilities are clear, and nothing depends on someone keeping the whole checklist in their head.

In other words, we do not have to rely on memory, sticky notes, or “I thought someone else was handling that” type of situation. Gecko HRM helps make sure every important step is prepared and executed on time.

We want the first day to feel intentional, not improvised. Because nobody wants to join a company and hear: “We are very excited you are here. We just need to find you a laptop and a notepad.” No, thank you, not our style. 😄

Your First Day

The first day sets the tone. We want it to feel welcoming, clear, and calm. You meet the people who will support you, you will learn more about the company, get introduced to tools and routines, and start understanding how things work.

Our onboarding survey shows that employees rate their first day very highly, around 6.7 out of 7. That tells us we are doing many things right, especially when it comes to making people feel accepted from the beginning.

A typical first day includes:

  • A welcome from the team
  • An introduction to your Team Lead and key colleagues
  • An office tour (you need to know where the massage room is, right 😉)
  • A sync with IT for access to tools and systems
  • An overview of company culture, values, and ways of working
  • A detailed look at your onboarding plan
  • A time for questions, because there are always questions

You Are Not Expected To Figure Everything Out Alone

One of the things our new colleagues consistently praise is the support they receive from Team Leads and coworkers. This is not a coincidence.

We believe onboarding should never feel like being dropped into a maze with a cheerful “good luck”. Every new colleague gets support from people who are there to guide, explain, check in, and help connect the dots.

Depending on the role and team, this support may include:

  • A Team Lead who helps define expectations and priorities
  • HR that helps with practical questions and everyday team life
  • Mentors or experienced colleagues who support role specific learning
  • Regular monthly check ins to discuss progress, questions, and challenges

This makes a big difference.

Our onboarding feedback shows very high satisfaction with Team Lead relationships, open communication, and the feeling of being accepted in the team. Employees also rated the usefulness of feedback and monthly reviews at around 92 to 96 out of 100.

That is important because onboarding is not only about receiving information, it is about building confidence, especially in those early days of starting a new job.

The Onboarding Plan

When someone joins us, they receive an onboarding plan that outlines tasks, activities, expectations, and learning steps. This plan is there to make the beginning clearer.

It helps answer questions like:

  • What should I focus on first?
  • Which tools do I need to learn?
  • Who should I meet?
  • What are my first goals?
  • When will we review progress?
  • Where can I find support?

We see onboarding as a journey. The first day matters, but so do the first week, the first month, and the first few review conversations. That is why we combine practical orientation with role specific learning, feedback, and regular communication.

Culture Is Learned Through People

Onboarding includes information about policies, tools, procedures, and ways of working.

But culture is not something you absorb from a slide deck. You learn it in meetings, in feedback conversations, in how people respond when you make a mistake. Whether colleagues offer help before you even ask. In how decisions are explained and in how teams celebrate wins and handle pressure.

Our new colleagues often highlight open communication, helpful coworkers, support from Team Leads, and the feeling of being welcomed into the team. That tells us that the most important part of our onboarding is not only the structure, but the culture behind it.

We want people to feel safe asking questions, sharing ideas, and admitting when something is unclear.

Feedback And Monthly Reviews

Feedback is a key part of onboarding.

Not the dramatic kind where you sit in a room wondering whether you are about to receive wisdom or bad news. We mean regular, practical, useful feedback that helps you understand how you are doing and where to focus next.

Monthly reviews help create this rhythm. They give new colleagues and Team Leads a dedicated space to discuss progress, expectations, priorities, learning needs, and any challenges that may have appeared along the way.

And when feedback is part of normal work, it becomes much less scary, which is always a bonus.

Structure That Gives People Space To Breathe

A good onboarding process has many moving parts. HR needs to prepare the plan, IT needs to arrange access and equipment, Team Leads need to define priorities, coworkers and mentors need to know where they come in. And the new colleague needs to feel that all of this is happening with purpose, not panic.

This is where we are genuinely grateful to have Gecko HRM in our own everyday work. It helps us turn good intentions into a clear, organised process. Tasks are assigned, reminders are there, responsibilities are visible, and everyone involved knows what needs to happen before and after day one.

Let’s make HR effortless!

For a new colleague, this means the start feels smoother. For the team, it means fewer things depend on memory, scattered notes, or last minute coordination. And for us as HR people, it is one of those moments where we quietly think: yes, this is exactly why this platform matters.

But structure is only useful when it creates a better human experience. Technology supports the process. People bring it to life.

A Good Start Makes All The Difference

Onboarding is more than a checklist.

It is the first real proof of what a company means when it says “we care about people”. It shows whether values live only on the website or also in everyday actions.

At Gecko and Agilcon, we want onboarding to feel thoughtful, structured, and human. We want new colleagues to understand their role, connect with the team, and build confidence step by step.
